Your team may find it helpful to receive reminder alerts/notifications on any outstanding approvals they have not yet responded to.
By default, our platform will send out a reminder alert 24 hours prior to the required by date on the approval to any reviewers who haven’t responded to the request yet.
There may be occasions where you’d like reminders to be sent sooner than this, in order to stay on track with approval SLAs.
Admins are able to set up custom approval reminders on a workflow by workflow basis by following these steps:
- Navigate to the Admin > Workflows area of the platform
- Find the relevant workflow you’d like to set the reminder alerts on and click into it to view the workflow settings
- Scroll down to the Reminders setting and click Add to build a new reminder alert
- You can then determine the number of days either after the submission date, or before the required by date you’d like the alert to be sent out on. Please note, these custom alerts currently do not exclude weekends
- You can also include a custom message that will appear on the email alert the reviewers will get.
- Lastly, you can determine whether you’d like the alert notification to be escalated to the reviewer’s Leader and be sent to them, as opposed to the Reviewer themselves (if you are using Leaders, as set within the user’s profile
- Once you’re done building these custom reminder alerts, scroll to the bottom of the page and select Save
*You can build up to 5 custom reminder alerts per workflow, so if you need to build additional reminder alerts on this workflow, just select Add on the Reminder field and build those additional, as needed.
*Please note, reminder alerts are set up on the workflow template level and is not something that can be customized on a database and/or folder level.
