Bulk Upload Resources

One of the main actions within the Resources module allows users to upload multiple files at a time. This feature will soon be updated, with an updated user experience and interface, making it easier to upload large amounts of files at a time. 

 

Please note: If you are unable to perform any of the steps or see any of the functions outlined below, this may be because you do not have the correct access permissions required.

If you believe you should have access, please contact your main admins for assistance.

 

The default bulk upload limit is up to 1000 assets, you can reach out to your account manager to increase your bulk upload limit to up to 3000 assets.

Accessing the Bulk Upload action

There are two options available to open the Bulk Upload page. 

1. Via the Bulk Upload action.
When viewing any of your folders, either on your Resources home page or if you're within a Sub-Folder, you can click the More icon or Add button to open a dropdown of Folder-related actions. In both instances, click the Bulk Upload option to load the Bulk Upload page. You can see an example of this below.

2. Drag & Drop your files into your Folder directly.
This will automatically open the Bulk Upload overlay. Note that if a user who does not have permission to upload in the folder tries to access the Upload page via drag & drop, they will be presented with an alternate page where they can drop the files. These will not be added. 

For users with permission to upload into the opened folder, you can drag either files or folders into a folder view. If you drag folders, the content within those including any sub-folders will be extracted and the files added to the folder you're dragging them into. You can see an example of this below. 

Note that you need to be within a Folder to Upload files. This action will not be available if you're on the Resources home page, ie the Main Folder view.

Adding files to your Bulk Upload page

If you've opened the Bulk Upload page via Drag & Drop, then the files you added will already be processing, ie uploading.

If you've come through the Bulk Upload action however, you can either Drag & Drop your files or click the Browse action to select files from your device, both located on the left of your screen (as highlighted below).

To add more files to your existing list, you can either drag in new files or click on the Add more Resources button that appears under your upload list (highlighted below).

You can add up to 1000 files to the Bulk Upload page at a time. If you try to upload more than 1000, you will get the below error message and the upload will not be processed.

Viewing your files 

Once your files have been added, they will be processed and added to the upload page as they are Uploaded. A file has been uploaded when the Processing bar is green (as visible above). This means the file is ready to be Saved. Note that the file will not appear in the folder until it is saved.  Files can be view in a list or single view. 

A preview will be displayed for the most commonly supported image file formats (bmp, gif, png, jpg, jpeg, ico, svg, webp), pending their file size is not greater than 15MB.

 

Creating Folders when Bulk Uploading

When bulk uploading you will also be allowed to Drag & Drop, and create entire Folder structures, including Resources, into IntelligenceBank as they appeared on your desktop.

Before you can "Save Selected & Continue to upload your documents, ensure that all of the Mandatory fields indicated by an (*) asterisk as well as any other information you required is filled out on the right hand side under "Main Details" including selecting any approvers if an approval workflow is attached to the upload.
